Looking for some tips on improving your youth sports fundraising? Every youth sports league must fundraise to cover expenses and keep fees low. So, how do you raise more funds? Focus on these seven factors and you can easily double your results.

Product Selection
In youth sports fundraising, it’s so important to select the right products to sell. The right selection is one that has mass appeal, an above average price point, and good profit margins.

Don’t sell what’s always been sold every year. Consider choosing items that meet the criteria below.

Product Price Point
Your product offering should be at an attractive price point. This means it should be neither high nor low, but rather right in the comfort zone that encourages people to open their wallets.

If you’re selling a low-priced product, you are at a disadvantage because you aren’t maximizing your revenue from each prospect. In this situation, try bundling a small quantity together and ask for more dollars.

For example, if candy bars are being sold for $1 each, put together variety three-packs or a family ten-pack. Get your prospect thinking bigger numbers. Many of them will step up to the bundle.

Product Profitability
It’s important that your fundraising product has a high profit margin. Ideally, you’d like to make 80% or more if you can. This would be products like discount cards for two-for-one deals at fast food places.

Many standard items have a profit margin of 50% and that’s OK. It just means that you’ll have to pump up the volume to make the same net that you would with higher profit items.

If the product chosen is one with a lower profit range of say 40%, then it needs to either be a higher-priced item or it needs to be likely to inspire quantity orders from each prospect. For example, cookie dough is often in this range, but price points are $10 & up. Many families will buy two or three units.

Sales Script
Don’t send your sellers out unprepared. Part of youth sports is teaching and helping kids with their sales skills goes a long way toward building self confidence.

Here’s what to tell them:
1 – Make eye contact, smile and introduce yourself.
2 – Say one sentence about why you are raising funds.
3 – Say second sentence that asks for their help.
4 – Make sure that sentence includes the word “because”.
5 – Extend sample item, catalog, or order sheet.
6 – Suggest a personal favorite item or bundle.
7 – Always ask for the order.

Prospect, Prospect, Prospect
Now that your kids know what to say, they have to have prospects for their sales pitch. You can’t set sales records without having a large supply of prospective customers.

Have everyone make a list of their potential customers. Have them do it as a team exercise and make sure they write them down. It’s very important to do this and to have each seller commit publicly to doing their part.

Have each seller stand up in front of their teammates and state how many prospects they have. Then have them make a commitment to raising a certain financial amount. Set minimum amounts and encourage competition by offering prizes for various achievement levels.

Location, Location, Location
Another way to boost your youth sports fundraising is by going where the prospects are. Your group can reach incredible numbers of people just by setting up fundraiser sales tables at entrances to high-traffic retail locations.

Grocery stores, home improvement stores, and mass merchandisers are all places where hundreds of prospects are available. Get permission well in advance from the store manager.

Set up a small table to display your fundraising product items. Staff your spot with two adults and two kids for each 90-minute shift.

Decorate the area with league banners and large-lettered signs explaining your offer. Your signs must inform them well in advance of reaching your display and sales table. That way, those interested in helping your sports team will be primed to stop and will be more receptive to hearing each youth’s sales pitch.

Example:
“New Uniform Fundraiser”
“Tasty 3 lb. Cookie Dough – $10″

Imagine how many potential prospects there are at those locations who are completely outside your normal range of contacts. Now, go out there and sell them something!

Have Fun
Always make raising funds fun for the kids. Their emotions are subconsciously communicated to each potential prospect.

If they are smiling while cheerfully communicating your team’s need and asking for help, then chances are good they’ll get a favorable response.

If they’re looking down and mumbling some garbled sales spiel, then chances are more people will pass on the offer. The way to get them involved is to have some competition going, have some fun activities built around the process, and have some rewards waiting for success.

For example, post a list at each team practice of the top sellers. Everybody loves to be recognized!

Do a fun activity just for those who help out by working the retail location sales table. Take the participants bowling or to a batting cage or a golf driving range. It’ll bond fathers and sons and encourage increased participation.

Have a rewards party after the fundraiser wraps up. A simple pizza party or group picnic is sufficient. Just make sure that everyone gets recognized for pitching in.

Allow the kids time to run around and enjoy themselves. After all, isn’t youth sports all about having fun?

Follow these seven tips and your team’s fundraising effort will be a big success.

Everybody wants easy fundraisers. The problem is that you also want good results. So, how do you get the best results
from an easy fundraiser?

Three things to consider in evaluating easy fundraisers:

Effort Involved
Resources Needed
Duration of Fundraiser

EFFORT INVOLVED
An easy fundraiser shouldn’t take a lot of effort, but let’s be honest. It is going to take SOME effort.

The level of effort is often directly proportional to the size of your group’s monetary goal, but not always. That’s why you are considering an easy fundraiser in the first place – you’re looking for less effort, not more.

RESOURCES NEEDED
Resources are always a problem in small group fundraising. You can never have too many volunteers and you usually never have enough.

For an easy fundraiser, you want programs that don’t require an excessive time commitment from a large number of people.

You want either a single weekend-only activity or a program that takes only a small amount of time each week. It’s easier to get people to help with something that doesn’t require more than a two-hour commitment from them.

Conserve your resources with an easy fundraiser and you’ll have more folks to draw on later when you really need help.

DURATION OF FUNDRAISER
Duration is important. An easy fundraiser that lasts more than a single weekend should not require a lot of attention to keep it productive.

Those that only last a single day or weekend shouldn’t require a tremendous amount of prep time.

So, which easy fundraisers only take a little effort, few resources, and have the right duration?

Three simple easy fundraisers:
Printer cartridge recycling program
Onsite or Online Yard Sale
Seasonal Specialty Item Sale
Recycling Program

A recycling program for collecting used printer cartridges costs nothing to put together. All collection boxes and shipping needs are covered by the supplier. We recommend FundingFactory.

Your effort involves finding businesses to participate in the program, leaving pre-labeled boxes with a site representative, and providing directions on calling UPS to pick up a full box.

A used cartridge is worth between $1 and $20, depending on the popularity of the printer and the cost of a new cartridge. Many businesses encourage recycling efforts. For good prospects, check with the leasing manager of large office buildings that house multiple companies.

Another good location is an electronics store or office supply retailer. Customers often bring in their old cartridge when shopping for a replacement. You are doing the retailer a service by providing them with an environmentally safe way to dispose of these leftovers.

A good recycling program will cover a couple of dozen sites and not require much work after the initial placement. Over time, working this many sites can produce a considerable amount of funds for your group.

One good source for a complete turnkey cartridge recycling setup (at no cost to your group) is the Funding Factory. They recycle inkjet cartridges, laser cartridges, and old cell phones.

Mega Yard Sale

A big yard sale is another easy fundraiser to pull off. It’s short in duration, usually just a Saturday sale with some prep time the night before.

Choose a nice high-visibility location like a school or church parking lot. Advertise in the local paper and put up signs for the cagey veterans who troll around on Saturday mornings looking for bargains.

Group your items together by category – kids clothes, tools, toys, books, pictures, music, etc. Place general price signs around items instead of pricing everything individually.

For example, “$5-$10 Tools” or “Books: $1-$3″ are signs that allow people to haggle and help you avoid putting price stickers on hundreds of items.

Resources are needed most for helping to sell. Recruit outgoing types who can be enthusiastic about these odds and ends. Make it a fun time with some helium balloons for small children and have coffee and doughnuts available for adults.

By grouping items together from multiple households, you create a bigger draw as well as a bigger workforce.

If you attract enough shoppers along with enough donations, you can raise as much as $500 per participating household.

Online Yard Sale

A variation on the yard sale fundraiser is to sell the items online. The best place to sell large quantities of lower-priced items is on eBay. You’ll get more for books, music, and consumer electronics that way.

Keep it in mind as a way to get better results on some items or as an easier fundraiser to do for very small groups.

You’ll need to spend some time creating the listings. Having online pictures posted seems to help with higher-priced items. All in all, it’s an easy fundraiser that produces results.

Specialty Item Sale

The third type of easy fundraiser is a weekend specialty sale of a seasonal item. Examples would be a Pumpkin Patch sale, a Christmas Tree sale, a Spring Flower Bulb fiesta, and so on.

This involves an effort similar to having a large yard sale. You’ll need a high-traffic location and some advance publicity. Your goal is to capture seasonal sales from the general public as well as those from within your group.

Avoid stretching these sales over more than one weekend or you’ll run into resource issues. Make it quick and keep it fun. Setup on a Friday, sell hard on Saturday, and wrap it up by Sunday afternoon.

Make arrangements ahead of time with your supplier about how to handle left over items. Source pumpkins from the local Farmer’s Market, Christmas trees from grower’s associations, and flower bulbs from national suppliers.

Be sure to price everything competitively and offer great customer service. For Christmas trees, have able bodies standing by to tie them down on vehicles.

For pumpkins, help place them in the trunk. The easier you make it for customers, the more you’ll net for your group.

Easy Fundraisers – Wrap-up

Putting together an easy fundraiser isn’t hard. It does take some effort and it does require resources, but nothing too difficult.

Give your group a helping hand by taking it easy.

Wreath making and selling can be a fun project and a money maker for almost any organization; however it is going to take some careful planning to make sure that everything runs smoothly. You’re weekly get together group may be all in favor of making wreaths, but as with any group project, you will have members who will be at different levels of capabilities. Some members may already be proficient wreath makers, others may be rank beginners.

You will also want to decide if all of the wreaths will be alike or will they be different? If you decide to make five different kinds of wreaths, you will want to have your members divided into five different groups. You will also want to have a leader or leaders for each group, a person or persons who know how to make the wreaths that their group is going to make and are willing and able to share this knowledge with others.

Printing out descriptions and directions for each type of wreath is a good idea also and will give those who have never made wreaths before a basic idea of what this entails.

You will also need a committee to buy or procure materials. Possibly more than one. You may need one group to be in charge of gathering natural supplies while the other group will be in charge of buying the embellishments which will be put on the wreaths.

If you are not going to sell the wreaths the same day you make them, you will need to be able to store them properly and this will include seeing that they get proper care.

You may also want to take orders for wreaths before they are made, so that you can be sure that each of the wreaths being made has a customer waiting for it. This will mean that you will want a sales committee who will go out and take orders for wreaths prior to your craft meeting.

If you are going to sell your wreaths at a particular time in a particular spot you will need to let this become public knowledge. You will want to arrange for a selling place, if you do not already have one, you will want to have people make posters and people distribute them. You will also want people who can arrange the wreaths the day of the sale and people to maintain the sales tables.

With careful planning, this can be a fun and a money making project for any group, careful planning is the key and hopefully this will be a fun and a productive and profitable project for your group and one which will be repeated in the future.

When someone is put in charge of fundraising, their first instinct is to look for something new and different. While change is great, sometimes the tried and true fundraisers work best. That’s why they are tried and true, right?

Whichever fundraiser you choose for your group, consider the amount of time and resources you will need to accomplish your goal. Ask anyone who has organized a quick and easy fundraiser, and they will tell you there was not much quick and easy about it. That’s where tried and true fundraisers come in.

Try one of these ideas for your next fundraiser:

Yard Sale/Garage Sale
Athlet-A-Thon Events
Product Sales
Car Wash
Overlay Fundraiser

Yard Sale/Garage Sale
Parents, neighbors, family members all donate their unneeded belongings to the cause. Locate a site to hold your sale. One person’s yard or the parking lot of a business work well, with permission of course. Advertise cheaply in the local newspaper and by using flyers.

Increase your traffic by advertising that this is a multi-family sale. Each family can attend their own table or you can schedule block times for groups of volunteers to work. How many working volunteers you need will depend on how much stuff you collect. By the end of your sale, you will see that, indeed, one man’s trash is another man’s treasure.

Athlet-A-Thon Events
Called by various names, these “thon” events not only raise money, but showcase the talents of the team! Each team member gets sponsors to sign up for a flat amount or a certain amount they will pay per lap, distance throw, accurate kick, whatever talent or group of talents works best for your team.

Your target sponsors can be local businesses, neighbors, family members, and so on. Save money by making your own pledge forms.

Product Sales
Product sale fundraisers can vary in duration and complexity.

There are three basic categories of product sales:

Immediate sale
Flyer sale
Catalog sale

If simplicity is your goal, go for the immediate sale, or cash and carry items. These are usually low ticket items and often involve something edible. Consider the size of your target audience and order products accordingly. You don’t want to get stuck with leftovers.

For medium complexity and higher revenue and profit than immediate sales, is the one to two-page flyer offering products from a similar category. This is more complex than a cash and carry sale because a second visit to the customer is required to deliver the products they bought.

The more complex product sale fundraiser is the catalog sale. Suppliers offer all kinds of product catalogs from candy or seasonal items to safety and first aid kits. Because catalogs offer a wider variety, the first sales call is more involved. Before choosing which catalog your team offers, consider who you will be selling to. The usual suspects are family members, neighbors, co-workers and local businesses.

Knowing what other area groups are selling or have recently sold can help determine what kind of product you choose to sell. Imagine trying to sell sweet treats on the heels of the Girl Scouts cookie sale. Knowing your competition can determine your level of success.

Car Wash
The most tried and true of them all, the car wash stands true as a great way to raise money. Some advanced planning is involved and getting your volunteers lined up is an important step. Secure a place to hold your car wash; many gas stations and convenience stores are very approachable about having a car wash at their site. It increases their traffic and brings in more potential customers.

You will need a water source (or two), cleaning supplies, promotional posters, and plenty of car washers. Be sure to have some of your volunteers holding signs where passing traffic can see them. Waving car wash signs at a safe location near a busy intersection works well. You can charge a certain amount per vehicle, or simply ask for donations. Often, taking donations reaps more money than a flat fee per car.

Profit Tip: Use An Overlay
Any of these tried and true fundraising methods can be enhance by doing an overlay fundraiser. Do a cash and carry product sale or bake sale at your yard sale, car wash, or “thon” event. While you’ve got your resources gathered, take advantage of it and make as much money at one event as possible. Who knows, you might not have to do that second fundraiser after all!

For any fundraising effort, always make sure your team members are safe and supervised. Be sure each team member can tell a potential “customer” what group they represent and why they are raising money. Everyone should also know what the collective goal is, and the average amount each individual needs to attain to make that collective goal.

By using a tried and true fundraiser, you are using a proven method for your team’s fundraising success.

The most important rule in planning a youth fundraiser is to make sure that everybody has fun!

These ideas will work well for a youth group, a church young people’s group, non-profit group or a youth sports (e.g. football, baseball) group.

Here are seven ideas to get your fundraising started:-

Sales -if you type in “youth fundraiser” on any search engine you’ll find offers to sell cookie dough, pizza cards, scratch cards, candles, sports goods and plenty more. Depending on the age of the children and the type of group, the locality, consider which of these are likely to be well received in your area. Using existing contacts with family, neighbours and friends alone can be quite profitable.

Car wash – this can be a profitable way to raise funds. It will need good planning. A great free guide to organising a successful car wash event is available from www.carwashguys.com, called “How to run a successful car wash fundraiser” and is written by Lance Winslow.

Fundraising auction – clear out the garage, spring clean the house, ask for donations – and then auction!. Publicise your auction well in advance around the neighbourhood, invite friends and family, have a printed list of auction items and get someone you trust to run the actual auction itself for you.

Sponsored event – such as a walk, sleepover, or 24 hour sports event – your young people will have their own ideas as to what they’d like to do!

Photos – arrange for a photographer to come for a day or evening. Book a time slot for families, children, publicise the event. Arrange a good level of commission on all photographs purchased and ensure plenty of flyers are available to distribute.

Website advertising – does your group have a website? Could you set up a free blog to keep people informed? If so, consider selling advertising space to local suppliers who may be interested – e.g. the local sports shop.

Dance/Disco/Live Music/Barbeque/Casino event – any event that will work for your locality. Obviously, some church youth groups might find a casino night inappropriate. However, most of these are suitable for young people to help to arrange and to attend.

For other ideas to raise money, get your group together and do a little brainstorming. Everyone will have ideas that they can contribute and this will help to get them involve in the fundraising effort.
Remember to follow some simple rules:-

Never go out fundraising alone, but always in groups of at least two.

Have some printed information about your project and how much you are planning to raise.

Involve as many friends and family members as you can – they will want to support what you are involved with.

Have fun!

Scratch card fundraising

Easy to order and can be printed to link to your group e.g. basketball, baseball, high school, etc. Each person in your group begins fundraising with 1 scratch card. They simply approach friends, family, and neighbors and ask them to scratch too! Profit ranges from 90% upwards.

Fundraiser candles

Everyone loves candles and especially scented candles! Simply take orders from friends and families – these items are especially good for Christmas fundraising. Profit margin 50%

Candy fundraising

Ideal for easter or summer fundraising events – sales of candy can be profitable. You can sell the chocolate at school, pep rallies, sports events, businesses or just person to person. Profit margin 50-60%.

Fundraising brochures

Brochure fundraising allows you to raise money by offering products from color brochures to family, friends, neighbors and business associates. Ideal for Christmas fundraising. Profit margins 40-55%.

1- Have a written project plan
Run your fundraiser like a small business. Have a written project plan that spells out all roles and responsibilities.
Slot motivated individuals into those roles and equip them with everything they need to do a great job.

2- Use your website
If you don’t have one, get one. Use it to communicate goals, thank your sponsors, highlight periodic offerings, recognize successes, honor individual contributors, etc. Promote your web site on all your materials.

3- Review previous records
See what’s been successful before. Look for ways to improve upon the past.
What items sold best? Get more of them.
Has your gift-wrap sale lost its luster with declining revenues?
Jazz it up with newer offerings.

4- Set a specific timeline
Make sure that your start date and end date are both firm.
The best selling period is 17 days, including 3 weekends.
Any longer and the drive runs out of gas; any shorter and you limit your prospects.
Avoid any scheduling conflicts.
Plan ahead to avoid overlapping other important community events, holidays, etc.

5- Actively recruit volunteers
Get more and better volunteers by going after them. Don’t wait for them to come to you.
Use a calling tree to root out prospects.
Ask for dads, older siblings, and grandparents to get involved.
Advertise for specific help via newsletters and word of mouth.

6- Identify needs and define roles
Do it ahead of time and match your group’s needs to each volunteer’s skills and availability by including it in each position’s description.

7- Use different people
Double up, particularly for key positions.
Fill organizational roles well ahead of time with different people than on the last fundraiser, unless there is a good reason not to switch.

8- Start early to broaden participation
Put the word out early and often about what volunteers you need.
Get plenty of them so no one feels overworked.
Offer a volunteer sign-up sheet for different events at every meeting.

9- Have a master sergeant

Use a strong communicator to help group and assign volunteers.
Some people are a natural for this key role.

10- Set small group goals
Break overall goal down into what’s needed from each sub-group.
Set up each unit with their own goal and translate that into what’s in it for them.
Reward each sub-group based on their own success. That will reinforce the correlation between funds raised and their own efforts.

These three fundraising events work well for any size group. To maximize your success, you must create awareness within the community of both the specifics of your fundraising event and the reason why your group is raising funds.

Both are important to any fundraiser, but they are absolutely critical for pulling off a successful event. You have to generate enough publicity to draw a sizable audience and you must motivate the attendees to support your program.

So, which fundraising events shall we talk about?

Three Event Ideas:

1- Get The Picture
2- Rubber Duck Derby
3- Clean Comedians

#1 – Get The Picture
Get The Picture is a name I coined for portrait event fundraisers. The idea here is to offer family portraits, glamour shots, vintage photos, and other “dressy” pictures.

You’ll need a central location with plenty of room for costume changes, picture-taking backdrops, and a waiting area. The best times are usually Saturdays. Pre-sell the event with flyers and reserved session” tickets.

You’ll want to get photo commitments up front from 250 people to make this worth your while.

Your sales pitch should “Focus on the Fun:”
Capture The Moment (before it slips away)
Dress up Picture Party (be there or be square)
Goofy Faces Wanted! (yours included)

Or tug at the heart:
When’s the last time you sent a family photo Christmas card?
They’re not getting any younger… Get a portrait!
Mother/daughter, Father/son – Pictures last a lifetime!

Your group can coordinate with a local photographer or partner with a national photography chain. One that I recommend is Vista Studios. They offer a 10×13 family portrait for $8 and your group gets paid $6, plus additional performance bonuses.

#2 – Rubber Duck Derby
The Rubber Duck Derby is an easy and fun fund-raising event that can be scaled in size to fit your group’s supporter base. The actual event, crazy as it may sound, involves racing rubber ducks down a local waterway.

Your local community “adopts” the ducks for a chance to win valuable donated prizes. Duck races have become a unique and profitable event for many charities.

Your group sells a ticket linked to a number that’s painted on one of the racing rubber ducks. Depending on the prizes involved, tickets are priced somewhere between $5-$10 a ticket.

A standard size for a race is 3,000 rubber ducks, but you can adjust that up or down depending on the size of your group and the amount you need to raise.

Large plastic bags full of the ducks are simultaneously emptied into the water. The winning duck is the one that floats to the finish line first.

It adds a little extra zing to the old-fashioned raffle ticket sale. Prizes can also be awarded in various categories to add to the festivities. Many groups organize their “race” around a group picnic near the waterway and make a leisurely afternoon out of your fundraiser event.

A company called Great American Duck Races can supply you with everything you need.

#3 – Clean Comedians
The third of our fundraising events is Clean Comedians. They offer over 50 performers capable of meeting almost any entertainment need. These hilarious entertainers will have your audience rolling with laughter — and no one will be offended!

All you need to coordinate is a hall or auditorium and arrange an audience. Sell tickets up front or at the door. If you want to make additional funds, you can also offer food items as well.

If your group is small, partner with another organization and split the profits. Many groups are reporting record giving with this unique “Bucks through Yuks” approach.

Hundreds of schools have used Clean Comedians for years to provide top quality entertainment for their students. From stand-up comedians and impressionists – to musicians, magicians, and jugglers – their performers provide outstanding, clean entertainment for any group.

Not only are these guys hilarious entertainment, but each performer also has several messages focusing on important issues students face today.

Performances can be arranged at this web site: Clean Comedians

Special Events – Wrap-up
Pick an event that suits the talents and size of your group. Then, focus your energies in getting your message out to your potential supporters. These fundraiser events will do the rest.

Fundraising is both challenging as it is rewarding. Raising the needed fund for a worthy cause is indeed spiritually and emotionally satisfying.
